With reference to the NOTES of Meeting held on 22th June 2010
Dear Chairman,
Thank you for the opening speech and your desire to have an open mind and be transparent in leading the Committee. I believed that you will continue to adhere to the Building Maintenance and Strata Management Act, as you have said you will follow strictly to the "book”
However, the notes circulated for the coming meeting does not contain what had transpired at the meeting. Only favorable comments were recorded.
In my opinion the following should be reflected in the Notes.
1. Mr. Lim Hong Leong, raised the issue of the presence of Ms Chow. Ms. Chow is the daughter of Mr.Chow (an elected member) of Huay Feng Hang Pte Ltd. He said written letter is needed if the Council member is represented by another person. You as the Chairman has no objection of her presence
2. On Chairman opening speech of complaints against the MC
a) Mr. Loh added that when he did the car park repairs for the MC, there were 3 complaints
made against his company.
b) Mr. Ong: further added, that there were complaints lodged at 5 departments against
him.
c) Mr. Ong proposed to appoint Mr Lim Hong Leong to investigate and apprehend the
complainants.
d) Mr. Yeo objected. He recommended that should investigation be made, it would be better
to engage a private investigator, because he did not trust Mr. Lim.
3. Mr. Lim Hong Leong further added and confirmed that all the proxies has been submitted 48 hrs before the AGM. However he has insufficient time to check the authenticity of every proxy received within the 48 hours period. The onus would be for the person being proxied to confirm the proxy's authenticity. He recommended that all the proxies must be stamped or signed with the names of the person signing and their Nric Nos written on the proxies.
Mr. Lee and Mr. Yeo were asked to take back copies of their proxies and have the names of the Signatories and Nric Nos attested and to re-submit them to the MA for inspection. Mr. Lim will search for all details of the companies of the submitted proxies and to counter check the signatories and' authenticity.
4. Mr. Yep supported the recommendation and commented in Cantonese "anyone can simply get a proxy by walking into the office and get the girl [ receptionist ] to chop and sign. According to BMSMA there is no provision that Name of persons and nrics must be attested on the proxy
5. Mr. Lee asked the chairman whether this was directed to him. If any members are not satisfied with the election, the chairman can called for an EOGM to re-elect the council members.
6. The Chairman recommends that the meeting continue. The meeting shall be void if there are any discrepancies in the proxies. Mr. Lim Hong Leong warns the Chairman, that any or whatever decision is made, the Chairman will bear all responsibility
7. Mr Ow strongly objected for the meeting to proceed and decided to walk out
8. The Chairman decided to adjourn the meeting to another date pending the investigations of
the proxies of Mr. Lee & Mr. Yeo.
Further to this, please put on record that I have complied with your instruction and have submitted all proxies with the Names and Nric Nos to you on 24th June 2010. You should be held responsible
if any of Nrics Nos are given to a third party
